There is a functionality in the HCR that a user with the roles required can view the accounts that parents log in with to register their children.


Online Registration User Accounts

To access the parent/guardian accounts that are used to register children, follow these steps:


  1. Click on the Admin icon
  2. Click on Online Registration User Accounts


You should then find yourself viewing all users that have registered participants using Online Registration for any offices that you have access to. You will see the email address, last name, first name, and Open, to view the user's information in detail.



Viewing an Online Registration User account

When you click Open to the far right of an Online Registration User's account, you will be brought to a screen showing you their information and find any related registrations & orders created by the user in question. You will see the
participant name, office name that the registration was processed through, the season of each related order, status, invoice number and registration date. If you click on the name, you will be brought to the participant profile if you have access to it, and you can also click on the invoice number to be brought directly to the order.


Assigning a Temporary Password

There are a few different scenarios when you might have to assign a temporary password to an Online Registration user. The main reason being that they have forgotten their password and no longer have access to that email address to be able to retrieve their forgotten password. You can still search for their old email address to give them a temporary password.

To assign a new temporary password, enter it on the Online Registration User page, as seen below. Try making the password letters and numbers (ex. p4ssw0rd), but not too difficult for the user since you are required to ask them to change it immediately after successfully logging in.


*Although they may no longer have access to the old email address they might have used in previous years, they can still use it to log in to Online Registration since, in this case, it acts only as a login, and just happens to be an email address. This means that they can still use their old email address to log in but must change it immediately after logging in, as well as their password if you have provided a temporary one.

Once they have logged back in to Online Registration with the temporary password and must make changes to their account, get them to follow these steps.
  1. Click on My Account near the top right of the screen.
  2. Click on Change My Email Address if their email requires updating.
  3. Click on Change My Password if you provided them with a temporary password.


*Ask them to double check their profile information at the same time, to ensure the accuracy of the information on their profile.
